1. Purpose and Scope
1.1 Purpose
This policy establishes the framework through which Qualitect Ltd ensures the quality, accuracy and of content generated through the Qualitect platform. It sets out how Qualitect quality assures its own platform outputs and supports Platform Users in developing qualifications that are robust, valid, fit for purpose and aligned to the relevant for their region and framework.
This policy applies to all users of the Qualitect platform and to Qualitect's internal processes for platform-. Our approach to quality assurance is informed by ISO 21001, which requires educational organisations to demonstrate systematic processes for assuring the quality of their educational outputs and placing needs at the centre of educational design. Qualitect is working towards formal accreditation against ISO standards relevant to its operations. References to ISO alignment describe the framework adopted and do not indicate current certification.
1.2 Scope
This policy covers the quality assurance of qualification content generated through the Qualitect platform including syllabuses, , and associated compliance documentation. It also covers Qualitect's internal processes for reviewing, testing and improving the platform's generation and compliance tools, the responsibilities of Platform Users in reviewing and approving generated content before use and where applicable quality assurance considerations for and as platform functionality develops.
2. Definitions
Compliance checks mean the automated checks run by the platform on every element of a qualification before it reaches the reviewer, configured to the educational standards of the selected region and framework.
Generated content means any qualification content produced by the platform's AI-assisted generation tools including , criteria, indicative content and qualification structure.
means the structured review process through which a named reviews, edits, approves or overrides generated content before it is locked and downloaded.
Quality assurance means the systematic processes applied to ensure that platform-generated qualification content is accurate, standards-aligned and fit for purpose.
Standards alignment means the degree to which generated qualification content meets the requirements of the relevant educational standards framework for the selected region and framework.
means the mapping tool within the platform that ensures assessment criteria use descriptor verbs aligned to the cognitive level expected at each .
3. Quality Assurance Principles
Qualitect's quality assurance framework is built on five core principles.
3.1 Validity
All qualification content is designed to be valid, meaning it measures the knowledge, skills and competence it claims to measure. The validates alignment between assessment criteria and learning outcomes for every generated qualification. Construct validity is maintained through the verb-level matrix. Content validity is supported through the platform's requirement for subject matter expert review before approval.
3.2 Standards Alignment
All qualification content is automatically checked against the relevant educational standards for the selected region and framework. The platform is designed to support qualification development across multiple regional frameworks.
3.3 Human Review and Approval
No qualification content can be approved or downloaded without documented human review and sign-off by a named Platform User. Every review decision, edit, override and approval is recorded in the permanent against the named reviewer with a date and time stamp.
3.4 Evidence Grounding
All qualification content is generated from source materials selected by the Platform User from their own uploaded documents or from the . The platform does not generate content without a grounding in the sources provided. Every learning outcome, assessment criterion and piece of indicative content is stored alongside the specific source passages that informed it. Platform Users can verify this during review.
3.5 Fitness for Purpose
Generated qualification content is checked for through the platform's compliance engine. Checks cover key structural and standards alignment criteria relevant to the qualification type, level and selected regional framework. The specific checks applied are published on the Qualitect product page and updated as the platform develops. Platform Users are responsible for applying their own professional judgement to confirm that generated content is appropriate for their intended learner group, sector context and regulatory requirements.
4. Compliance Checks
The platform applies automated compliance checks to every generated qualification before it reaches the reviewer. Details of all current checks are published on the Qualitect product page. Where a check identifies an issue, the platform flags it with a description and suggested action. Platform Users may accept, edit, regenerate or override any flagged element. Where an override is selected, the Platform User records their reason and this becomes a permanent part of the . Platform Users retain full responsibility for the final content of any qualification they approve.
5. Platform User Quality Assurance Responsibilities
Platform Users are responsible for the quality assurance of qualifications they develop using the platform. Qualitect provides tools to support this process but does not conduct quality assurance on behalf of Platform Users or take on their regulatory obligations. Platform Users with regulatory obligations are responsible for ensuring qualifications meet the requirements of their relevant regulatory framework.
6. Assessment Materials Quality Assurance
Where assessment materials are generated through the platform, the same quality assurance principles apply as for generation. Additional considerations including , and review will be addressed as assessment functionality is introduced within Qualitect's learning services.
7. Audit Trail and Record Keeping
Qualitect maintains a comprehensive audit trail for every qualification developed on the platform. The audit trail cannot be altered or deleted after records are created. Audit records are retained for a minimum of seven years to support Platform Users' compliance with the documentation requirements of the relevant educational standards and regulatory frameworks and to meet Qualitect's own legal and contractual obligations.
8. Qualitect's Internal Quality Assurance Processes
8.1 Compliance Check Maintenance
The compliance checks are reviewed and updated on an ongoing basis. Platform Users are notified of significant updates.
8.2 AI Model Governance
Qualitect monitors AI generation tool performance including reviewing outputs for accuracy, standards alignment and potential bias. All AI-generated content is subject to human review before approval.
8.3 Platform Testing and Development
New features undergo testing before release. Accessibility testing is included as a standard component of all platform releases.
8.4 User Feedback and Continuous Improvement
Platform Users can report content quality concerns through the platform or at hello@qualitect.co.uk. Platform Users are encouraged to provide feedback on their experience. This feedback is treated as a measure of customer satisfaction and is reviewed as part of Qualitect's ongoing quality management processes in accordance with the requirements of ISO 9001. Where a Platform User believes that a platform quality failure has affected their qualification or the accuracy of a compliance check and this has not been resolved through the feedback process, they may raise a formal complaint through the Complaints Procedure. The Appeals Procedure is available where a Platform User remains dissatisfied with the outcome of a complaint.
9. Roles and Responsibilities
Qualitect Ltd is responsible for maintaining quality and standards alignment of platform tools, updating compliance checks and responding to user feedback. Platform Users are responsible for reviewing and approving all generated content before use and conducting their own quality assurance processes. The Compliance and Accreditation Lead has day-to-day responsibility for this policy. The Development Team is responsible for the technical quality assurance infrastructure.
